Where off-the-shelf tools genuinely win

  • Speed. You can be using it today, not in weeks or months.
  • Lower upfront cost. No development cost, just a subscription.
  • Already tested. Bugs have largely been found and fixed by other users before you.
  • Good for standard processes. If your accounting, HR or CRM needs are fairly generic, a mature tool built for exactly that purpose is often the right call.

Where off-the-shelf tools break down

  • Per-user pricing compounds. A subscription that looks affordable at 5 users can become expensive at 50, indefinitely, with no end point.
  • It rarely matches your actual workflow. You end up adapting how you work to fit the software, instead of the other way round.
  • Local payment support is often weak. M-PESA and other Kenyan-specific payment methods are frequently an afterthought or a fragile plugin.
  • Your data lives somewhere else. Hosted overseas, subject to another company's terms, pricing changes and shutdown risk.
  • Multi-department workflows get awkward. A school or hospital needing admissions, finance, academics and HR to share one consistent record often finds generic tools force clunky workarounds.

When custom software makes sense

Custom development earns its cost when your workflow is genuinely specific, when you need the system to integrate tightly with M-PESA or other local infrastructure, when you want to own the system outright rather than rent it indefinitely, or when several departments need to share one coherent set of records, the way our own VDS School Management System is being built to do for schools.

The honest middle path: a proper Discovery & Strategy conversation should tell you which one actually fits, not assume custom is always better because that's what a software company sells.

A quick way to decide

  1. Map your actual current process, step by step, before evaluating any tool.
  2. Try to match it against an existing off-the-shelf option honestly.
  3. If the match requires you to change how your business fundamentally operates, or the tool can't handle local payments properly, that's a sign custom is worth the investment.
